1. Do you have a professional wedding planner?
    Yes, there are three events staff professionals onsite.

  2. Who will be our point person prior to the day of our wedding?
    The three events staff professionals rotate weekends and one will be assigned 3-4 months prior to your wedding day.

  3. Who will be our point person on the day of our wedding?
    The events staff that you work with prior to your wedding day will be onsite day of along with additional events staff depending on your final headcount (generally 2-3 staff).

  4. Is my wedding date available?
    Contact one of our events staff and we will look at dates for you and set up a tour of the venue.

  5. How many guests can your venue accommodate?
    We can accommodate up to 100 ceremony guests depending on which space is requested. For wedding receptions, we can accommodate up to 300 on the Star Gazing Deck, 100 guests at Kilima Private Game Reserve & Spa, and up to 500 utilizing the entire Star Gazing Deck for a less formal reception. Contact the events staff for examples of diagrams and room setups.

  6. What is the rental fee, and what is included in that price?
    Inquire about our fees and costs by contacting the events staff.

  7. Are there different rates for peak and off-season dates?
    No, all seasons are peak wedding seasons at Kilima Private Game Reserve and Spa! 

  8. Is there a service charge on top of the bill?
    No, the wedding package price is the only charge (unless outside vendors are required per your request and arranged through your wedding planner). There is a 10% catering commission fee that your caterer will charge on the food and beverage bill.

  9. Are there any cleaning fees, overtime charges, insurance-fees?
    Yes, Kilima Private Game Reserve & Spa reserves the right to charge a damage/cleaning fee if necessary after the wedding. There are overtime charges; however, the guest and client must exit per the agreed upon time. Proof of liability insurance may be required. Security may also be required at the expense of the client.

  10. What kind of deposit is required?
    80% of the package rate is due at time of signing the rental agreement. Acceptable forms of payment include credit card or cash.

  11. What is the cancellation policy? Cancellations are accepted provided that notification is given in writing to the events staff. The following cancellation fees will apply:

    • More than 9 months prior to the wedding date, cancellation fee will be 25% of the deposit

    • Between 6 and 9 months prior to the wedding date, cancellation fee will be 50% of the deposit

    • Fewer than 30 days prior to the wedding date, cancellation fee will be 100% of the deposit

  12. When is final payment due?
    7 business days prior to your wedding day.

  13. What is the last possible date that we can make changes to diagrams and timeline?
    The day before your wedding day.

  14. What is the back-up plan for rain or inclement weather if using outdoor space?
    Our Star Gazing deck comes with a Bedouin tent, this enables us to facilitate weddings in almost any weather conditions.

  15. How many weddings will be booked on my special day?
    Just your wedding!

  16. Is there an in-house caterer or do you allow outside caterers?
    No food or beverage may be brought into Kilima Private Game reserve & Spa from any other source. We have five Chef’s available for your wedding. They will cater to your every whim. See photos of Billy's gourmet dishes here.

  17. Do you allow alcohol?
    Yes, Kilima Private Game Reserve & Spa has its own Liquor License.

  18. Do you allow us to bring in our own alcohol?
    We do not allow outside alcohol.

  19. Are plates, silverware, and glassware provided?
    Kilima Private Game Reserve & Spa has four options to choose from at a standard rate, if anything outside the current options are requested, it will be at extra cost. 

  20. Can I bring in a cake from a bakery?
    Cakes, mints and water are all supplied at an extra cost. We do provide cake-cutting. We do provide plates, forks, napkins, or serving utensils for the cake.

  21. Can we have a DJ or band and dancing?
    Yes, we ask that DJs and bands provide their own sound equipment and we provide the dance floor (this is included in our flat rate). DJ’s or bands are at an extra cost.

  22. Are there restrictions for the photographer in terms of flash usage?
    If your photographer has not been to our venue before, have them make an appointment with one of our events staff to tour the facility prior to the wedding. Kilima Private Game Reserve & Spa has world renowned photographers that could cover your special day at an extra cost.

  23. Who is responsible for setting up and tearing down décor and when?
    Kilima Private Game reserve & Spa staff sets tables, chairs, linens, and other items included in the wedding package by 8 a.m. the day of wedding.

  24. Can I move furniture around and decorate to suite my likes and dislikes?
    Yes, every wedding is custom and we work with you to create personalized diagrams and layouts for your wedding day.

  25. Are there decoration limitations and do you allow candles?
    All decorations and furniture arrangements must be approved and coordinated in advance with the events staff. Décor may not be affixed to the walls, ceilings, banisters, doors, or stairways. Nails, hooks, tacks, screws, and bolts may not be used on any surface at the Star Gazing Deck. Only petals, rice, birdseed, wheat or similar materials are allowed. Fog machines are not allowed. Use of candles is restricted to enclosed flames at least one inch from the top of the container or floating in water.

  26. At what time will my guests and vendors have to leave the facility?
    Guests must exit by 12 a.m. This is negotiable. Kilima Private Game Reserve & Spa clean and clear out after the Wedding.

  27. Do you have spa facilities? Yes! Our bespoke one of a kind spa, Kukura, will be officially launched in April 2019. Each treatment room complete with its own Rasul and splash pool, every bride dreams to be pampered during before and after her big day. Visit our Kukura Spa page.

  28. Will other vendors like hair dressers, make up, flowers etc. be arranged on request of the bride?
    Absolutely, we are able to provide all additional services/wishes the bride may have.

  29. Is there a honeymoon turndown done on the wedding night?
    We do a unique honeymoon turn down for all bridal couples. 

  30. How far are you from an airport?
    We are 40 min from Phalaborwa as well as Hoedspruit airports and 4.5 hours from OR Tambo international. Transfers are available for all the above Airports.

  31. What is the average cost per person for a wedding?
    Depending on your bespoke wedding choices, cost per person can range anything from R650 – R2500 per person excluding alcohol, accommodation, spa treatments and/or Game or exotic Game Drives.

  32. What kind of activities do you offer at Kilima Private Game Reserve & Spa?

  33. Do you provide assistance with getting gifts or décor to designated cars at the end of the event?
    Yes, the events staff working can assist with loading cars if needed.

  34. Is there a shuttle service available?
    Kilima Private Game Reserve & Spa provides Game Driving Vehicles for our events. 

  35. What overnight accommodations do you provide?
    Kilima Private Game Reserve & Spa has 14 Luxury en-suite rooms, 2 Luxury family suite’s, 1 x King Suite, 1 x Honeymoon suite and 10 Luxury tented camps. Click here to view all the photos.

  36. Are there adequate bathroom facilities?
    There are men’s and women’s restrooms located at the Star Gazing Deck each with multiple stalls.

  37. Is the site accessible to physically challenged guest”?
    There are ramps at the Star Gazing Deck and luxury special accommodation for the physically challenged guest. There is one physically challenged parking spot at the entrance to the Lodge.

  38. Is there ample parking?
    Will guests be charged for parking? Complimentary guest parking is available at the main Lodge.

  39. Do you have signage or other aids to direct guests to my wedding?
    Yes, at the entrance to the venue there is a sign holder with last name of the bride and groom.

  40. What extra special little touches does Kilima Private Game Reserve & Spa offer?
    We have a “Clock & Register” tradition, that is breathtaking. After the wedding there is a “Love Lock” ceremony at the True North Deck. See photos here.
